Expedition Wise Ltd - Terms and conditions
The following terms and conditions show the commitment by both you the participant, and us at Expedition Wise Ltd. These terms and conditions, along with any information provided by you and Expedition Wise Ltd will form the basis of any contract.
‘we’, ‘us’, and ‘our’ refers to Expedition Wise Ltd as a company, or any of our employees. ‘you’ and ‘your’ meaning the participant.
We are constantly reviewing and updating the challenges that we provide and make every effort to ensure that any information released by us is correct at the time of printing. However, things may still change after this information has been released. Should there be any significant changes, omissions or errors discovered after booking, we will make all reasonable efforts to inform you of these changes.
Prior to confirming any bookings please discuss your challenge with our staff to ensure that it is suitable for you. Any person booking onto an Expedition Wise Ltd challenge must be 18 years of age or over. The person ticking the box that states you have read these terms and conditions agrees to provide us with full and accurate information and confirms that all party members understand and agree to abide by any reasonable requests made by us or any member of our staff.
Any information you provide, during enquiries or bookings, will be held on computer. Our data protection (Information Commissioner’s Office) registration number is Z1197168. Your personal data will be treated in the strictest of confidence and will not be disclosed to any third party (apart from your chosen charity if you are raising money for a charity) unless where required by law or where your consent has been given. Under the terms of the Act you have the right to obtain a copy of the information held about you upon payment of appropriate fees. Any photographs taken by the staff on the challenge may be used for marketing purposes.
The payment structure is detailed on the booking page and you agree to that payment structure. It details the amount that you have to pay when booking online as a non-refundable and non-transferrable registration payment as well as the minimum sponsorship pledge or self-funding amount you are to pay. It also shows the breakdown of costs if you are paying in instalments. Each instalment is non-refundable as the date passes. You are agreeing to pledge to raise the minimum sponsorship and it is your responsibility to send this to the charity. One of the simplest ways of doing this is to set up a JustGiving or Virgin Money Giving page so that all funds raised go straight to the charity.
Changes made by you before the Challenge
If you want to change any of your challenge details prior to the challenge beginning please contact us immediately and we will do everything possible to accommodate you. We will charge for any additional services provided, at the price that applies on the day the change is made. An administration fee may be payable to cover any costs already incurred by us prior to the date of change, however, every effort will be made to minimize this cost.
Cancellation by you
If you cancel, you forfeit your registration fee which is non-refundable and cannot be transferred to another event participant. You must give your notice to cancel in writing and the charges listed below apply from the date we receive this notice at our office. If you have selected the ‘Self-funder option‘ and cancel your place less than 2 calendar months prior to the start of the challenge, the full amount is payable which includes your events cost balance.
- If you cancel after registration the amount payable is your registration fee only.
- If you cancel at each instalment date, that fee becomes non-refundable at that date, which includes the registration fee and instalments up to the data stated.
- If you cancel less than 2 calendar months prior to the start of the challenge, then full amoun is payable.
There is no refund available after each instalment date and the full amount is payable after the 2 calendar months prior to the start of the challenge has passed. This is due to all challenge costs being payable at the 2 calendar month stage. Our staff contracts also reflect this date with full payment needing to be paid to staff after this point.
In the case of Expedition Wise Ltd becoming insolvent, we hold a ring fenced separate account with enough monies to refund all participant payments in full.
We advise all participants to have full travel insurance for the duration of the challenge. If the challenge is fully based within the UK, then medical insurance is not a necessity as any required emergency treatment will be free under the National Health Service. We advise you take out full medical and travel insurance including repatriation cover for the duration of the challenge, stating to the insurance company all the activities that you will be involved in. If the challenge involves cycling, it may be worth taking out bike cover for the duration of the challenge with a company such as CTC.
Cancellation by Expedition Wise Ltd
If we have to change the details of your challenge we will inform you in writing. If we have to cancel it for whatever reason you will be offered an alternative. Should you not wish to accept the alternative you are entitled to a full refund. All cancellations will be notified in writing.
Circumstances beyond our control
Unless specifically stated elsewhere in these conditions we cannot pay any compensation or reimburse fees, expenses or losses or accept responsibility for any changes we deem necessary after your challenge begins. When we refer to circumstances beyond our control we mean any event that we, or our staff, could not foresee or avoid even after all reasonable care and risk assessment has been carried out. When we refer to a force majeure we mean an act of God or totally unexpected accident (e.g. lightening). Such circumstances may include (amongst others) war, terrorist activities, civil unrest, industrial disputes, bad weather (actual or threatened), road traffic incidents and road works which are not known to us prior to the challenge beginning. In these circumstances, where possible, an alternative will be offered. Should you not wish to accept the alternative no refund will be offered.
We at Expedition Wise Ltd aim to provide everyone with the best experience possible. If you are not satisfied with your challenge you must inform your challenge Director at the earliest possible opportunity. If they are unable to help you or following their assistance you are still not satisfied you must bring this to the attention of the Duty Director. This can be done by calling the main office number or by asking your challenge Director to call. All complaints must be made within 28 days of the challenge finishing date. Except in cases of personal injury or death no claims will be considered outside of this time scale.
